The Coalition of Communities of Color (CCC) is seeking a highly organized and systems-oriented Program Coordinator to manage the administration of the Successful Families program. The Successful Families Program Coordinator will serve as the central administrative staff managing all operational and administrative functions for the Successful Families program and work to strengthen relationships among agencies, schools, and CCC program staff.
The ideal candidate will have a combination of experience developing and managing administrative systems and logistics, supporting program staff and external partners, and aligning the varied needs of multiple stakeholders. Responsiveness, communication, and relationship building skills are essential to success in this position.
This is an excellent opportunity for candidates interested in nonprofits, education, children and youth programming, or major project management. Through the Successful Families program, this position will provide exposure and build connections to a range of community-based organizations, participating school districts, and Multnomah County.
The start date for the position will be December 1, 2022. This will be a temporary part-time (20 hours/week) position from December 1, 2022–June 30, 2023. The position may be extended pending future program funding. Job activities will be conducted primarily remotely with occasional in-person meetings in the Portland area.
About the Successful Families Program
Successful Families is an educational and support services program that assists students and their families navigate and prosper in Multnomah County’s public school systems. CCC provides coordinating and administrative functions for five community-based partner agencies that are part of Successful Families: Immigrant and Refugee Community Organization (IRCO), Latino Network, Metropolitan Family Services, Native American and Youth and Family Center (NAYA), and Self Enhancement, Inc. (SEI).
RESPONSIBILITIES
Partner Agency Direct Support
Support administrative tasks for partner agencies including scheduling, filing, email response management, materials and meeting preparation, space coordination, and other tasks as needed
Staff regular and ad hoc agency meetings, including agenda and materials preparation, notetaking, and follow up communications
Build and sustain relationships between agency, district, and CCC staff
Program Administration
Develop and implement the program’s operational policies and procedures including maintenance of filing systems and contacts
Manage CCC’s services and communications to partner organizations
Ensure agencies’ reports and data are submitted to CCC on time and correctly formatted
Build and sustain relationships between agency, district, and CCC staff
Communications Support
Manage, direct and respond to telephone, email, and mail communications between partners
Produce occasional written summaries of program activities for stakeholders
QUALIFICATIONS
The Program Coordinator should demonstrate experience and skills in balancing the primary work duty areas and should meet or exceed the following criteria:
One year of office management, coordinator, administrative, or assistant experience, or work experience involving similar responsibilities
Strong organizational and time management skills, including planning and multitasking
Attentive to detail and highly responsive
Excellent interpersonal and relationship building skills with the ability to navigate and resolve conflict
Ability to balance and advocate for stakeholders’ varying needs and interests and problem solve
Solid verbal and written communication skills
Proficient in MS Office and Google Workspace
Commitment to racial justice
Preferred Qualifications
Specific work or educational experience in administration, organizational development, organizational leadership, business, customer service, human resources, or related fields
Prior experience in community-based organizations/nonprofits, educational systems, direct services, or government programs
POSITION DETAILS
Wages and Benefits
Compensation is $23–27/hour dependent on qualifications. This is a part-time, nonexempt position paid hourly. Benefits include prorated paid vacation and sick leave; medical, dental, and vision insurance for the employee with 100% of the employee’s premium paid by employer; and additional benefits including health and transportation savings accounts and monthly phone and transportation stipends.
Work Location
Work can be conducted primarily remotely, with in-person attendance at necessary meetings and events in Multnomah County. The coordinator must be within commuting distance of Portland and East Multnomah County.
Hours
The coordinator is expected to be generally available between 9:00 AM–5:00 PM Pacific Time in order to be responsive to program partner needs, but many work activities may be self-scheduled.
This position would be at a minimum of 20 hours per week. Hours may exceed 20 initially if needed to set up program operations.
